How the true cost is calculated
Labour hours: Based on real customer data where 2TB of recordings takes 495 hours with a Kaleidoscope workflow — running the classifier, manually reviewing and correcting misidentifications, exporting results, re-checking edge cases. This is consistent across customers and documented in the Wharton case study.
Licence cost: Kaleidoscope Pro costs £262.50–£595 per year per user depending on subscription tier and reseller. NHBS lists the Professional subscription at £354.17 ex VAT (April 2026). We use this as the default but you can override it with your actual spend.
The hidden cost: Most teams focus on the licence invoice and overlook the labour. For a typical 5-person team processing 5TB per year at £65/hour, the manual labour costs far more than the software itself. This calculator makes that visible.
Labour estimates assume a standard Kaleidoscope workflow. Actual hours depend on team experience, site complexity, and species mix.
